Privacy notice
This page explains, in plain words, what personal information the International Piano Competition “De Bach au Jazz” collects when you apply, why we need it, who sees it, how long we keep it, and what you can ask us to do with it.
Most of our applicants are children. Often a parent or a teacher fills in the form for them. This notice is written for all of you: “you” means the applicant, and also the parent or teacher who sends the application. “Your child” means the young applicant.
Who is responsible for your information
Two organisations run the competition together. They decide together how applications are handled, so the law calls them “joint controllers”:
- Association Nathalie, 33 rue du Commandant Mouchotte, 75014 Paris, France;
- VONA CNPC (ΒΟΝΑ ΑΜΚΧ), Pontou 50, 115 27 Athens, Greece.
There is one address for every question or request about your information: debachaujazz@gmail.com.
The two organisations have agreed between them who does what. In short: the competition’s inbox, debachaujazz@gmail.com, receives every application and every privacy request, and it is looked after by Association Nathalie. Both organisations help to answer your request. You may also write to either organisation at its postal address above; your request will be answered either way.
What we collect
On the application form:
- the applicant’s given name, surname, date of birth and nationality;
- the applicant’s address, postal code, city, country, telephone number and email address;
- the teacher’s name, email address and telephone number;
- the section-group (A to F), the chosen program and, if you give one, the link to a video;
- how you learned about the competition (if you answer);
- which documents you have already sent by email;
- that you accept the Rules and have read this notice.
If the applicant is under 18 on the day the form is sent, the form also asks:
- who is sending the application: a parent or legal guardian, or a teacher with the parents’ agreement;
- the parent or legal guardian’s full name, email address and telephone number — always, also when a teacher sends the form, so that we can reach the family directly;
- a tick to confirm that a parent stands behind the application.
By email, as the Rules ask, you send us:
- a copy of the passport or identity card, or another proof of date of birth;
- a photo;
- a short CV (groups D, E and F);
- proof of payment of the entry fee;
- links to the performance videos on YouTube. The videos themselves stay on YouTube, under YouTube’s own terms;
- a copy of the registration page, if sending the form fails.
Please send only what the Rules ask for.
Why we use it
We use this information only to organise the competition you ask to enter:
- to check the application and the age group;
- to pass the program and the videos to the jury, and to select the candidates;
- to plan the schedule;
- to contact you, the parent and the teacher about the competition;
- to announce the results, send or hand out the prizes, send the jury’s comments, and give teachers their diplomas.
The Rules also say what becomes public: the live performances and the Gala Concert are open to the public, the laureates are announced and their names appear on this website, and first prizes’ videos are posted on this website.
Our legal basis is your request to take part in the competition: we need this information to run the competition you ask to enter, under the Rules you accept when you apply (General Data Protection Regulation, Article 6(1)(b)). For a child, a parent or legal guardian stands behind that request.
We do not sell your information. We do not use it for advertising.
How your application travels
- When you press “Send”, the organisers’ own web server emails your answers to the competition’s inbox. This web server is run by the hosting company Top.Host (grserver.gr), in Greece.
- At the same moment, the web server automatically sends a copy to the applicant’s email address. If the applicant is under 18, a copy also goes automatically to the parent or legal guardian, so the family is told that an application was made. Nobody writes these copies by hand.
- The form itself keeps no copy of your application on the web server. The only thing it keeps is a counter that stops anyone from flooding the form. The counter stores your connection’s network address only in scrambled form; the address itself is not written down. The counter is ignored after one hour and cleared regularly. If an email cannot be sent, the form notes only the time of the failure — nothing you typed.
- The hosting company’s mail server keeps standard delivery records of the emails it sends: the sender’s and the recipients’ email addresses and the time. The hosting company keeps these records for a limited time, to trace delivery problems, and then deletes them automatically. It does not keep the content of the emails.
- The competition’s inbox is a Gmail account, a service of Google. Google may process the emails in the USA. Google takes part in the EU–US Data Privacy Framework, which the European Commission recognises as giving adequate protection.
- The documents you send by email arrive in the same inbox.
Who sees it
- The people who organise the competition in the two organisations, only as far as they need it.
- The members of the jury, only what they need to judge — for example the applicant’s name, group, program and videos.
- The companies that carry the emails: Top.Host (grserver.gr), which runs the web server and its mail server, and Google, which runs the Gmail inbox.
- Nobody else, unless the law requires it.
How long we keep it
We keep applications, and the documents sent with them, for one year after the competition. Then we delete them. The names of the laureates stay in the competition’s public archive on this website.
Your rights
You can ask us at any time:
- to see the information we hold about you or your child, and to receive a copy;
- to correct anything that is wrong;
- to delete it, or to stop using it for a while. Please note: if you ask us to delete an application before the competition is over, we can no longer consider it, so this means withdrawing from the competition;
- to receive the information you gave us in a common computer format.
A parent or legal guardian can make these requests for their child. A young applicant can also write to us.
To make a request, write to debachaujazz@gmail.com. We answer within one month. We may ask a question first to make sure that the request really comes from you.
If you think we have not handled your information correctly, please tell us, so that we can put it right. You also have the right to complain to a data protection authority, for example:
- in Greece: the Hellenic Data Protection Authority, www.dpa.gr;
- in France: the CNIL, www.cnil.fr;
- or the authority of the European Union country where you live.
This website
- This website uses no analytics, no advertising and no tracking cookies.
- The YouTube videos on this website play only when you click on one. They come from youtube-nocookie.com. Once you click, your browser connects to YouTube (Google), which then receives your network address (IP address) and may store information under its own terms.
- On the archive video pages of past editions (2018, 2021 and 2023), the preview pictures of the videos are served from this website. YouTube is contacted only when you click on a video.
- The website’s typefaces are served from this website itself. No outside service is contacted to show them.
- The hosting company’s web server keeps standard access records of visits: the visitor’s network address (IP address), the page requested and the time. They serve security and keep the website running. The web server starts a new record file every day and keeps only the previous day’s file, so a visit record is deleted automatically after about two days.
Changes to this notice
If we change how we handle your information, we will update this page and the date below.
